Leaves Policy
Leave Management
We trust our team to act responsibly and be accountable for their actions. Leaves can be taken as needed, but they must be pre-planned, structured, and approved by the manager in advance, except in cases of emergencies.

Paid Leaves:
- Each full-time employee is entitled to 5 paid casual leaves and 8 paid sick leaves per calendar year.
- The calendar year for all leave categories runs from January to December.
- Casual leaves are accrued on a pro-rata basis, at 0.42 days per month (calculated as 5 days divided by 12 months).
- Sick leaves are accrued on a pro-rata basis, at 0.67 days per month (calculated as 8 days divided by 12 months).
- Leave entitlement is calculated based on the month and date of employment start within the given year.
- Leaves do not carry over to the next year.

Leave Request Procedure:
- Every leave must be requested at least one week in advance; otherwise, it will not be approved.
- Leave requests made just one or two days prior will not be accepted, except in emergencies.
- Each team member must obtain approval from their reporting head, project manager, HR, and other relevant team or project members.
- Leave requests should be submitted via email and approved by the designated individuals in the proper format.

Accrued Leaves:
- Leaves can only be taken from the earned balance at any given time, as they are accrued monthly.
- If the requested leaves exceed the earned balance, approval will depend on project and team needs, as well as management’s discretion. Extra leaves may be taken as unpaid, depending on the business situation.

Casual Leave Approval:
- Approval must be obtained from the relevant supervisor or project manager before HR can give final approval.
- Taking leave in advance from next month’s allotment is at HR’s discretion, based on individual performance and the current business situation.
a. Casual Leaves
Each team member is entitled to 5 paid casual leaves per calendar year, to be used for emergencies or unforeseen circumstances.
- Casual leaves are accrued on a pro-rata basis, meaning 0.42 days per month (calculated as 5 days divided by 12 months).
- Casual leave requests must be submitted via email with at least one full day’s notice or before the workday begins.
- For leave longer than one day, requests should be made at least two weeks in advance.
- Proof of the emergency or circumstance is required to approve leave.
- Approval is subject to the team’s needs and management’s discretion.
- Leave requests made within a shorter notice period may not be approved unless deemed necessary by the manager or HR.
b. Sick Leaves
Each team member is entitled to 8 paid sick leaves per calendar year.
- Sick leaves are accrued on a pro-rata basis, meaning 0.67 days per month (calculated as 8 days divided by 12 months).
- Sick leave requests must be submitted via email at least one full day before the leave or by 08:00 AM on the day of absence.
- If three or more sick days are requested, a doctor’s note is required.
- Failure to provide necessary documentation may result in unpaid leave or denial of the request.
- All relevant team members, HR, and the team lead/supervisors must be informed of the situation.
- Failure to follow this procedure may result in disciplinary actions, including deductions from leave balances, unpaid leave, or, in extreme cases, termination of employment due to repeated violations of the leave policy.
c. Unpaid Leaves
- Unpaid leaves are allowed if business operations are not affected. These leaves require prior approval from the management.
- Employers reserve the right to reject leave applications if absence would negatively impact business operations.

Leave Request Procedure:

- Email their HR and reporting manager with the leave details.
- Create a leave application on the ERP system.
- Ensure that manager approval is mandatory for the leave to be processed.
- Leave will only be considered approved once the manager has approved it on ERP or confirmed it via email.
